A practical guide for schools evaluating student-information, fees, learning, communication and reporting systems while keeping parent experience, data quality and privacy in view.

Map the school calendar and information flow

School systems touch admissions, student records, classes, timetables, attendance, fees, examinations, communication, learning content and reporting. Before comparing products, map which teams own each process and which records move between them during a term.

A system can have many modules and still create duplication if finance, academics and communication maintain separate versions of the same student. Prioritize a reliable student identity and clear ownership of master data.

Test the parent and teacher experience

  • Ask a teacher to take attendance and enter marks using the actual device they will use.
  • Ask finance staff to post a payment, allocate it and produce a clear statement.
  • Ask a parent or guardian to find the information they would commonly need without staff assistance.
  • Test bulk communication and the handling of failed or invalid recipient contacts.
  • Test promotion, class changes, transfers and student exit workflows.
  • Verify permissions for teachers, bursars, administrators and support staff.

If the system includes an LMS, test slow or intermittent connectivity and content access on ordinary mobile devices. Do not assess learning features only from a desktop demonstration on fast internet.

Protect student and family data

School platforms process substantial personal data. Review the supplier's data-protection practices against current ODPC guidance, including access control, processor responsibilities, retention, breach handling and any cross-border processing that applies to the chosen deployment.

Include backup and exit planning in the contract. The school should be able to retrieve core student, financial and academic records in a usable form if it later changes systems.
