A practical CRM comparison framework for Kenyan SMEs focused on lead capture, sales stages, follow-up discipline, WhatsApp or email context, reporting, mobile use and data portability.
Design the sales process before configuring fields
A CRM should make the team's next action clearer. Define lead sources, qualification rules, pipeline stages, ownership, required follow-ups and what qualifies as a won or lost opportunity before importing contacts.
Avoid creating dozens of fields because the software permits it. Every required field adds work to sales activity. Start with the data that improves follow-up, forecasting, handoff or customer history, then add more only when the team can explain why it is needed.
Run a salesperson's day through the system
- Capture a new lead from the channel you actually use.
- Assign it and schedule the next activity.
- Record a call, message, meeting and quotation.
- Move the opportunity through stages and test mandatory information.
- Use the mobile experience away from the office.
- Review a manager dashboard and trace every number back to underlying records.
If the CRM is expected to connect to email, telephony, forms, WhatsApp or accounting, test the real integration. Ask whether messages are merely linked out to another app or whether useful history is written back to the customer record.
Plan consent, access and data exit
Customer and prospect information is personal data. Use current ODPC guidance to assess appropriate access controls, processor relationships, retention and cross-border considerations for the deployment you choose.
Before committing, export a sample dataset. Check whether notes, activities, custom fields and relationships can be retrieved in a usable way. Data portability is easiest to evaluate before you have years of sales history in the system.
How TrustRiva can help
Use TrustRiva profiles to compare product fit, supported platforms, deployment model, integrations, support options, pricing evidence and published Riva Reviews. Use Riva Compare for side-by-side evaluation and Ask Riva when you need a shortlist based on your own requirements. A listing's presence in this guide does not change its Riva Score or Riva Picks position.
