How landlords, agents and property managers can compare rent, tenancy, maintenance, communication, receipts and reporting software without losing control of tenant data or financial records.

Model the tenancy lifecycle

A useful property system should follow the lifecycle from property and unit setup through enquiry, application, tenancy, deposit, rent invoicing, payment, maintenance, notices, move-out and statement history. Test the transitions between these states rather than looking at each screen independently.

Define how deposits are held and reported, how partial payments are allocated, how arrears are calculated and how adjustments are approved. If the platform collects payments, confirm the payment trail from incoming transaction to tenant ledger and receipt.

Operational checklist

  • Separate owner, property manager, caretaker, accountant and tenant permissions where relevant.
  • Keep unit occupancy and tenancy dates consistent with billing.
  • Support maintenance requests with status, responsibility and history.
  • Generate tenant statements that explain invoices, payments, credits and balances.
  • Make notices and communication traceable to the relevant property or tenancy.
  • Provide exportable financial and tenancy data for audit or migration.

For mobile-money collections, evaluate the same reconciliation controls you would require in any financial system. A successful prompt is not the same as a correctly allocated rent payment.

Treat tenant information as protected data

Tenant applications and tenancy records can contain identification, contact and financial information. Use current ODPC guidance when evaluating data-controller and processor responsibilities, retention, user access and any third parties involved in hosting or communication.

Ask what happens to documents after a tenancy ends and how access is removed for former staff or contractors. Good property software supports operational convenience without weakening basic data governance.
