A practical checklist for evaluating M-PESA integration in POS, ERP, e-commerce and custom software—from sandbox testing and payment confirmation to reconciliation and failure handling.
Define the payment journey before choosing an API
Safaricom's Daraja platform provides access to M-PESA APIs and a sandbox for developers. The important buying question is not simply whether a product 'supports M-PESA'; it is whether the implemented payment journey matches how your business collects and reconciles money.
Map each collection point: counter sale, online checkout, invoice payment, deposit, recurring bill, delivery collection or account balance. Define who initiates payment, what reference is used, when the business considers the transaction paid and how staff handle a payment that arrives late.
Ask for these controls
- A unique transaction or invoice reference that links the M-PESA payment to the business record.
- Server-side payment confirmation before an invoice or sale is marked paid.
- Clear handling of cancelled prompts, insufficient funds, timeouts and delayed callbacks.
- Reconciliation screens that can distinguish matched, unmatched and duplicated transactions.
- Role permissions for initiating prompts, recording manual payments and reversing mistakes.
- Audit logs that preserve who initiated or changed a payment record.
If a vendor cannot explain the failure paths, the integration is not ready for serious accounting use. The happy path is usually the easiest part of payment integration; reconciliation and exception handling are where operational quality becomes visible.
Test before production
Use the sandbox and a controlled pilot to test common and uncommon cases. Confirm how the system behaves if the customer changes phone number, closes a prompt, pays the wrong amount, pays twice, or completes a payment after the operator has navigated away.
Finally, confirm credential ownership and offboarding. Your organization should know which account owns the integration, who can rotate credentials, and how the payment integration can be transferred or disabled if the software relationship ends.
