A practical Kenya-focused framework for comparing POS systems by workflow fit, eTIMS readiness, M-PESA payments, stock control, support and evidence—not by feature count alone.

Start with the selling workflow, not the demo

Write down how a normal sale actually happens: products or services, units of measure, variants, discounts, tax treatment, payment methods, returns, quotations, credit sales, branches, tills and receipt requirements. A POS that looks attractive in a demo can still be a poor fit if staff must work around it every day.

For stock-heavy businesses, test receiving, transfers, batch or expiry handling, stock counts and adjustments. For service businesses, confirm the system can sell non-stock items without forcing artificial inventory. If you operate several branches, confirm permissions, stock movement and reporting behave correctly across locations.

Check Kenya-specific integrations early

KRA describes eTIMS as its electronic tax invoicing system and provides system-to-system integration options for businesses that already use invoicing or ERP software. If electronic invoicing applies to your business, confirm whether the POS integrates directly, works through a certified integration path, or expects you to use a separate invoicing workflow.

For M-PESA, do not stop at a logo on the payment screen. Ask whether the integration supports the exact flow you need—such as prompting the customer, confirming payment before closing the sale, reconciling the transaction and handling failed or delayed callbacks. Safaricom's Daraja portal is the official developer platform for M-PESA APIs and sandbox testing.

Run a realistic acceptance test

  • Create a sample product catalogue and test fast product search.
  • Make a mixed cash and M-PESA sale, then refund or reverse it.
  • Receive stock, transfer stock between branches and perform a stock adjustment.
  • Test a day with no internet if offline continuity matters.
  • Print or share the exact receipt or invoice format you expect customers to receive.
  • Create a limited cashier role and verify permissions from that user's account.

Evaluate the support process at the same time. Ask how incidents are reported, whether urgent support has a defined channel, how backups are handled and what happens if you later need to export your products, customers and transactions.

Compare total operational fit

Price matters, but the cheapest subscription can become expensive if it creates manual reconciliation, duplicate entry or training overhead. Compare implementation effort, device requirements, support, integrations, data migration, reporting and the cost of adding branches or users.

Use review evidence as a separate signal. A long feature list is vendor-supplied information; customer reviews and transparent confidence indicators tell you something different about real-world experience. Keep those two evidence types distinct when making the decision.
