Use this checklist to evaluate whether invoicing, POS or ERP software fits your eTIMS workflow without confusing a general tax feature with a verified KRA integration path.

Understand what the software is claiming

KRA provides multiple eTIMS access and integration routes. For organizations that already have invoicing or ERP systems, KRA documents system-to-system integration through OSCU and VSCU approaches. A vendor saying that its product is 'tax compliant' is therefore not the same as demonstrating the integration route used for your deployment.

Ask the vendor to state the exact eTIMS workflow in writing: what is sent to KRA, when it is sent, what reference is returned, how failures are surfaced to the user and what happens when connectivity is interrupted.

Technical due-diligence checklist

  • Identify whether the product uses an online portal workflow, client workflow, OSCU/VSCU system integration or another currently supported route.
  • Ask whether the vendor itself is the integrator or uses a third-party integration provider.
  • Confirm invoice, credit-note and cancellation workflows instead of testing only a happy-path sale.
  • Confirm branch and device handling for businesses with more than one sales point.
  • Ask how rejected submissions, retries and duplicate prevention are logged.
  • Confirm how the KRA reference and tax-invoice data appear on the customer-facing document.

For an ERP or accounting system, include purchase, sales, credit-note and reporting teams in the test. The integration is operational, not merely technical: staff need a clear way to see what succeeded, what failed and who needs to act.

Do not freeze compliance logic in a procurement document

Tax and invoicing requirements can change. Your contract should require the supplier to maintain the integration against current KRA requirements and communicate material changes. Avoid buying a system solely because a presentation contains a screenshot of an eTIMS screen.

Before go-live, test in the appropriate environment with your actual invoice scenarios and reconcile the resulting records. Keep implementation evidence and vendor contacts so future changes are easier to manage.
